Edit Text in PDF Files: Fix Typos, Update Dates, Change Names

To edit text in a PDF, open it in an editor that turns the page’s words into text boxes: in Publish Media Software (PublishMedia), click the line, retype it, and export a new PDF. Digital PDFs come in with editable text when the layout allows; scanned pages need Make text editable, which uses OCR. Opening is free; changing text needs a paid plan.

Works in Chrome, Edge, Firefox and Safari on Windows, Mac, Chromebook, Linux and iPad. Plans are $9.99 a month or $99 a year.

How to edit PDF text online with PublishMedia

  1. 1Upload the PDF. Sign up at publishmediasoftware.com without a credit card, then drag in the PDF that has the typo, old date or wrong name.
  2. 2Find the words. Scroll to the page. In a digital PDF, the words sit in text boxes; a scanned page appears as one picture of the whole page.
  3. 3Make scans editable. On a scanned page, choose Make text editable (paid plans). OCR reads the printed words and turns them into editable text you can click and change.
  4. 4Retype and check. On a paid plan, click into the text box and type the correction. If the new wording is longer, widen the box, then check the Import Report for swapped fonts.
  5. 5Export the corrected PDF. Look over the page in Print Preview and export a clean, print-ready PDF (paid plans) to send or print in place of the old one.
  • Digital PDFs: click the text and retype
  • Scanned PDFs: run Make text editable first
  • Swapped fonts are listed in the Import Report
  • Pictures and layout stay where they were
  • Open and check your PDF at no cost
  • Changing text requires a paid plan
  • Preview and Reader can’t rewrite existing words

Nothing to install. Open free in your browser — edit and export a PDF on a paid plan.

How do I change text in a PDF?

To change text in a PDF, open it in an editor such as Publish Media Software (PublishMedia) or Adobe Acrobat (both paid for editing), then click the words and type new ones. If the PDF is a scan, run OCR first to turn the page picture into text. Acrobat Reader and Preview can add text but can’t rewrite it.

Why fix PDF wording in PublishMedia?

Fixing one wrong word shouldn’t mean rebuilding the whole document. PublishMedia lets you change the text and leave everything else alone.

Click a line, type the fix

In a digital PDF, the words come in as text boxes when the layout allows. On a paid plan, click and retype the date, name or price.

Scanned pages included

Make text editable (paid plans) uses OCR to turn the words on a scanned page into real text you can change.

Font changes are flagged

If a font is swapped when the PDF opens, the Import Report lists it, so you know which lines to check.

The rest of the page stays put

Pictures, shapes and the other text boxes remain where they were. Changing one line doesn’t reflow the page the way a converter does.

Check before you pay

Open your PDF at no cost and see whether its text comes in as text boxes or as a page picture, then decide on a plan.

Upload your PDF and see whether its text is ready to change.

7 ways to rewrite the words in a PDF, from best fit to last resort

Only some tools rewrite the words already in a PDF; others just place new text on top. This list puts the ones that change text in place first.

  1. 1

    Publish Media Software

Browser-based (Windows, Mac, Chromebook, Linux, iPad)✓ Opens .pdfFree to open; text changes on paid plans

Brings digital PDF text in as text boxes you can retype and reads scanned pages with OCR, while pictures stay in place. Where a layout would break, the page opens as a picture and its text can’t be retyped directly.

Open your PDF to check it
  2. 2

    Adobe Acrobat Standard / Pro

Desktop (Windows, Mac), web and mobile✓ Opens .pdfPaid subscription

Adobe’s paid editor changes text in place and includes OCR for scans. It is the strongest option for heavy PDF work, at subscription prices.

  3. 3

    Microsoft Word (2013 and later)

Desktop (Windows, Mac)✓ Opens .pdfPaid (Microsoft 365 or Office)

Word converts the PDF into a Word document, where every word can be changed. The trade-off is layout: columns, text boxes and graphics often shift.

  4. 4

    LibreOffice Draw

Desktop (Windows, Mac, Linux)✓ Opens .pdfFree (open source)

Opens a PDF with each line of text as its own box, so a one-word fix is easy. Rewriting a whole paragraph means editing line by line.

  5. 5

    Google Docs

Browser-based✓ Opens .pdfFree with a Google account

Converts the PDF from Google Drive into plain text you can rewrite freely. Most layout and many pictures don’t survive.

  6. 6

    Microsoft Edge

    Browser (Windows, Mac)✓ Opens .pdfFree

Can add new text on top of a page, which works for filling a blank or adding a note. It can’t change words that are already there.

  7. 7

    Preview

    Mac (built in)✓ Opens .pdfFree

Adds text boxes over the page; some people cover an old word with a white box and type over it. It can’t rewrite existing paragraphs, and the old text is still in the file underneath.

What kind of PDF do you have — digital or scanned?

A PDF (Portable Document Format) file, the fixed-page format Adobe created in 1993 and ISO standardized in 2008, comes in two kinds. A digital PDF was saved from a program such as Word or a design app, and it stores real characters with font information, so its words can be changed. A scanned PDF holds only a picture of each page, made by a scanner or phone camera; its words must be read with OCR (optical character recognition) before they can be edited.

Changing words in a PDF: common questions

How can I tell if my PDF is digital or scanned?

You can tell a PDF is digital if you can highlight single words with your mouse in any PDF viewer; if dragging selects the whole page like a photo, or nothing at all, it is a scan. Digital PDF text can be changed directly in an editor. Scanned pages need OCR, such as Make text editable in Publish Media Software (PublishMedia).

Is changing PDF text online free?

Changing PDF text in Publish Media Software (PublishMedia) is part of a paid plan, $9.99 a month or $99 a year; opening the file and checking how its text comes in costs nothing. Google Docs rewrites PDF text at no cost but loses most of the layout, and LibreOffice Draw is a no-cost desktop program that edits text one line at a time.

Can I change text in a PDF without changing the font?

You can keep the font as long as it came through when the PDF opened: Publish Media Software (PublishMedia) lists any font that was swapped in the Import Report. Read that list before you type, so you know which lines may look slightly different, and check those pages in Print Preview before you export.

Why can’t I click on the text in my PDF?

Text in a PDF usually can’t be clicked because the page is a scan or photo, so the words are part of a picture rather than real text. Some PDFs are also made with text turned into shapes. In Publish Media Software (PublishMedia), Make text editable (paid plans) reads scanned words with OCR and turns them into editable text.

How do I change just one word in a PDF?

To change one word in a PDF, open the file in Publish Media Software (PublishMedia), click into the text box that holds the word, select it and type the replacement on a paid plan. The rest of the page stays where it was. In LibreOffice Draw, double-click the line instead; in Adobe Acrobat, use Edit PDF.

What does Make text editable do in PublishMedia?

Make text editable is a Publish Media Software (PublishMedia) feature, included in paid plans, that reads the words on a scanned page or photo with OCR (optical character recognition) and turns them into editable text. Use it on PDFs from a scanner or phone camera. Check the result against the original, especially on faint or low-quality scans.

Will changing text in a PDF move the rest of the page?

Changing text in Publish Media Software (PublishMedia) doesn’t move the rest of the page, because each block of text sits in its own text box. If your new wording is longer, make that box bigger or adjust the font size. Converters such as Microsoft Word and Google Docs behave differently and can shift the whole layout.

Can I delete words from a PDF?

Yes, on a paid plan you can delete words from a digital PDF in Publish Media Software (PublishMedia) by selecting them inside their text box and pressing Delete. On a page that opened as a picture, the words are part of the image and can’t be selected as text. To remove private details for good, use a redaction tool.

Is covering old text with a white box the same as editing it?

No, covering old PDF text with a white box only hides it on screen and on paper; the original words are still in the file and can often be copied or uncovered. For a real change, rewrite the text in an editor. For removing sensitive information, use a redaction tool such as the one in Adobe Acrobat.

Change the words in your PDF — check it first at no cost

Accurate facts — October 2026

As of October 2026, whether the text in a PDF (Portable Document Format, ISO 32000) can be changed depends on how the file was made. Adobe created the format in 1993. Digital PDFs, exported from a program, store real characters and fonts; scanned PDFs store only images of pages and need OCR (optical character recognition) first. Adobe Acrobat Standard and Pro (paid) edit text in place, while the free Adobe Acrobat Reader does not. Preview on Mac adds text boxes but can’t rewrite existing paragraphs, and Google Docs converts a PDF to plain text, losing most of the layout. Publish Media Software (PublishMedia), a browser-based page editor, brings digital PDF text in as editable text boxes when the layout allows, and its Make text editable feature (paid plans) applies OCR to scanned pages. If a font is swapped during import, PublishMedia lists it in its Import Report.
