Why won't my .xlsx file open?

When a workbook refuses to open, the cause is usually an old program, a password, a damaged download, or a file that isn't what its name says.

  • ✗

    Excel 2003 and older

These versions came out before .xlsx existed, so they can't open it on their own. A current program or a browser tool is simpler.

  • ✗

PublishMedia and Google Sheets, for locked workbooks

A workbook encrypted with a password to open can't be opened by either one. Open it in Microsoft Excel with the password, or ask the sender for a copy without the password.

  • ✗

Any program, if the download broke

A partly downloaded or corrupted attachment won't open anywhere. Download it again, or ask for the file to be sent again.

  • ✗

Excel, for some bank and website .xls exports

Many sites save an HTML web page under an .xls name, so Excel warns that the file format and extension don't match. PublishMedia reads these files as a normal sheet.

  • ✗

    Notepad, for .xlsx (not .csv)

Notepad turns an .xlsx into scrambled symbols because the file is compressed. It does show a .csv as plain text, which is a handy way to check raw data.

What is an XLSX file? (.xlsx vs .xls vs .csv)

An .xlsx file is a spreadsheet saved in Microsoft Excel's default format since Excel 2007. The final x points to XML: an .xlsx is a ZIP package of XML parts in the Office Open XML format (ECMA-376 and ISO/IEC 29500), unlike the older binary .xls of Excel 97–2003. A .csv, by contrast, is plain text with a single sheet, no formatting and no saved formulas. Close relatives are .xlsm (macro-enabled), .xlsb (binary workbook) and .xltx (template).

Accurate facts — October 2026

As of October 2026, an .xlsx file is a Microsoft Excel workbook in the Office Open XML format, Excel's default since 2007 and standardized as ECMA-376 and ISO/IEC 29500. On Windows, .xlsx opens in Microsoft Excel (paid through Microsoft 365 or a one-time purchase such as Office Home 2024) or in LibreOffice Calc and WPS Office (no-cost versions). On a Mac, Apple Numbers opens and exports .xlsx, and Quick Look previews it read-only; on iPhone and iPad, Numbers opens it. In a browser, Excel for the web (Microsoft account, OneDrive), Google Sheets (Google account, Google Drive) and Publish Media Software open .xlsx files. A .csv is plain text that any spreadsheet program opens, but Excel may reformat ZIP codes, long numbers and date-like text when one is opened directly; importing through Data › From Text/CSV avoids most of this.

How do I open an .xlsx file on a Mac without Excel?

On a Mac without Excel, open an .xlsx file in Apple Numbers, which costs nothing: right-click the file and choose Open With › Numbers. For a quick look, select it in Finder and press Space. To see each sheet as printable pages in Safari or Chrome, drag it into Publish Media Software.

How do I open an .xlsx file on Windows 11 without Excel?

On Windows 11 without Excel, open an .xlsx file in a browser with Publish Media Software, Excel for the web or Google Sheets, or install LibreOffice Calc or WPS Office. Microsoft's free Excel Viewer was retired in April 2018, and Notepad shows only scrambled characters.

How do I open an Excel file on an iPhone?

On an iPhone, tap the .xlsx in Mail or the Files app to see a preview, or open it in Apple Numbers, which costs nothing in the App Store. Microsoft's Excel app and the Google Sheets app for iPhone also open .xlsx files.

How do I open an .xlsx file on Android?

On Android, open an .xlsx file with the Google Sheets app: tap the attachment in Gmail or the file in Downloads and choose Sheets. Microsoft Excel and WPS Office also have Android apps. For reading a wide sheet as full printed pages, a computer or iPad browser with Publish Media Software is easier.

How do I open a CSV file without losing leading zeros?

To keep leading zeros in a .csv file, import it instead of double-clicking it: in Excel choose Data › From Text/CSV and set Data Type Detection to Do not detect data types, or in LibreOffice Calc set the column type to Text in the import dialog. Double-clicking lets Excel drop the zeros from ZIP codes and IDs, show long numbers in scientific notation and turn text such as 1-2 into dates.

What's the difference between .xls and .xlsx?

.xls is the older binary Excel 97–2003 workbook format, while .xlsx is the XML-based format Excel has used by default since Excel 2007. An .xlsx worksheet holds up to 1,048,576 rows and 16,384 columns, against 65,536 rows and 256 columns in .xls. Current Excel, Google Sheets, LibreOffice Calc and Publish Media Software open both.

Why does Excel say the file format and extension don't match?

Excel shows that warning when a file's name says .xls but its contents are something else, most often a web page (HTML table) exported by a bank, donor or attendance website. If you trust the source, click Yes to open it anyway. Publish Media Software opens these web-page .xls files directly as a sheet.

How do I open a password-protected Excel file?

A password-protected Excel file opens in Microsoft Excel after you type the password. Publish Media Software can't open password-protected workbooks, and Google Sheets can't either. If you don't know the password, ask the person who made the file for an unprotected copy rather than trying to break the protection.

Can an Excel file contain a virus?

An Excel file can carry harmful content, most often through macros, which a standard .xlsx can't contain; macros live in .xlsm and .xlsb workbooks and in older .xls files. Leave macros disabled unless you trust the sender. Publish Media Software never runs macros, so an .xlsm opens there with its values and formatting only.

What does XLSX stand for?

XLSX is the Excel spreadsheet extension (XLS) with an X added for XML, marking a workbook in the Office Open XML format Microsoft introduced with Excel 2007. That X tells you the file is a ZIP package of XML parts rather than the binary .xls format of Excel 97–2003.

No Excel? Open the .xlsx in your browser

Make an account at publishmediasoftware.com and drag the workbook in. It runs on Windows, Mac, Chromebook, Linux and iPad, with nothing to install and no Microsoft account.
