What information goes on an employee ID card?
A standard employee ID card shows: the company name and logo, the employee's full name, job title, department, an employee ID number, and a headshot photo. Some organizations add an issue and expiry date, an emergency contact number, or a barcode for access control.
Do I need an official card printer for employee IDs?
Not necessarily. Our printable template produces a PDF you print on 65–80 lb cardstock, trim to credit card size, and laminate. For small teams (under 20 employees), this is cost-effective and produces professional-looking results. For larger organizations or high-security environments, a dedicated PVC card printer (Fargo, Zebra, Magicard) is more efficient.
How do I take and use employee headshots for ID cards?
A simple front-facing photo on a plain background works best. Take photos on a white or solid-color wall. Crop to a square aspect ratio, crop from collar to crown of head, and export at 300+ DPI. Upload the JPG or PNG to the photo zone in the template editor.
Can I add access levels or departments to the ID card?
Yes. The title field can be repurposed to show a department name, clearance level, or role. Many organizations color-code ID cards by department — you can change the header band color in our editor to create distinct department palettes.
How do I re-issue an expired employee ID card?
Open the original template, update the issue and expiry dates, and reprint. For organizations where expiry is critical (contractors, temporary staff), include a clear expiry date on the front of the card and maintain an internal card log tracking issue dates.
