The structure of a professional event program follows a simple rule: chronological order, clearly labeled. List each segment of your event in the sequence it will occur, with the segment name on the left and the time or speaker on the right. Use a section break or horizontal line to separate major blocks (reception, dinner, ceremony, dancing). Keep descriptions short — one or two lines per segment is enough for printed programs. Leave white space around headings so the eye can navigate quickly, especially in dim lighting at formal events.
Printed programs remain the standard for formal events — weddings, galas, award dinners, and graduation ceremonies — because they create a keepsake that guests can reference offline, annotate, and take home. Digital QR-code programs reduce printing costs for larger casual events but require guests to have charged phones. For hybrid events, export a PDF for both print and email distribution. PublishMedia exports the same file in either case — you choose how to distribute.

An event program template is a pre-designed, editable layout that guides attendees through the order of events, speakers, and agenda for any organized gathering — gala, ceremony, conference, graduation, or performance. PublishMedia event program templates are edited entirely in your browser.
Most printed event programs use 8.5×11 (single page), 5.5×8.5 (half-sheet, folded from letter), or 8.5×14 (legal, for longer agendas). The most common for formal events is a half-sheet bifold, which gives four panels — front cover, inside spread, and back cover.
